Bubble Rush 2020

Please ensure you have read and agree to these terms and conditions before registering to take part in Bubble Rush.

If you are signing up on  behalf of a group please ensure that other group members have been made aware of these Terms & Conditions.

The event organiser (the organiser) referred to in these Terms and Conditions is Extreme Adventure Ltd.

 1. General

  • These booking terms and conditions apply to everyone who takes part in Bubble Rush and those who attend as spectators.
  • These terms and conditions contain important information regarding participation and upon entry you agree to and accept these terms and conditions.
  • All participants taking part in Bubble Rush do so at their own risk. In no event shall the organiser (Extreme Adventure Ltd) or the charity partner be liable for any injuries, loss or damages whatsoever.
  • By taking part, all participants confirm that they are happy for their names and any footage or photographs taken during the event to be used to publicise Bubble Rush.  It is the responsibility of the participants to inform the organiser before the event and/or at Registration if they do not wish to be photographed or filmed.

2. Registration

  • Participants must submit an official registration form via the event website with the correct non-refundable registration fee.
  • All ages of participants are welcome to take part.
  • Under 16s must be accompanied at all times around the course by a responsible adult, who has also registered for the event.  One adult can accompany two children.
  • Children under 3 years of age can take part for free but will not receive a t-shirt or medal.
  • Your registration fee is non transferable and non refundable. You may give your ticket to someone else but if you have selected a fundraising ticket or set up a fundraising page please be aware that you are still liable for the fundraising target. (please also refer to the Sponsorship section).  
  • If you do transfer your ticket please notify us of the new attendee and their t-shirt size.  You can notify us of changes by email: info@extreme-adventure.co.uk
  • Event day information will be emailed to you approximately 2 weeks before the event. Included in the pack will be details of how to collect your free Bubble Rush t-shirt.  You will need to print off or download your confirmation email to the event to claim your t-shirt(s)
  • If you want to take part in a group please make sure you enter in the same start wave as it may not be possible to make changes to your entry once a wave is full. 
  • The organiser reserves the right to alter the wave start times in the event – this will usually only be necessary if poor weather is forecast, at the request of the venue or due to local or national guidelines on participant numbers.  You will be notified by email and should follow the event page on Facebook and Twitter for notification of any changes.

3. Sponsorship

  • By signing up to take part in Bubble Rush you understand that this is a charity event and that you will either make a donation as part of your entry fee or include some fundraising for the nominated charity partner as part of your preparation for the event.
  • All participants accept and understand that they cannot use their place in this event to promote or fundraise for any other charity.
  • Registration fees will go direct to Extreme Adventure Ltd to cover the costs of staging the event. Event day activities and sale of merchandise are organised by the charity partner. All profits from individual and corporate sponsorship and event day activities will go directly to the charity partner.
  • After you have registered for Bubble Rush you will receive an email from the charity partner with details about fundraising as part of your preparation for the event and supporting the charity after the event. You are advised to check the Privacy Policy on the charity’s website and set your ongoing communications preferences with them.

 4. Safety

  • The Bubble Rush race course is approximately 5km, the route is 2.5k long so to complete the course participants will complete the loop twice.
  • It is not a race and is a non-competitive, non-timed event. Participants can walk, jog or run and bypass bubble stations if necessary.
  • On the day of the event, each participant will receive an individual participant number. Please ensure you complete the contact and any relevant medical information on the reverse and wear this number throughout the event. The race number must be worn over your Bubble Rush t-shirt which is provided as part of your entry to the event.
  • All participants must wear the Bubble Rush t-shirt and number to identify you as a registered participant to event staff and course marshals.
  • For your safety and enjoyment of the event, we ask that you follow and adhere to the instructions given by the event organisers and event marshals.
  • If you are unable to complete the 5km route in full, you must inform an event marshal that you are unable to continue and hand in your participant number. Assistance can be sought if required. The event organiser recommends that where possible participants should walk with an acquaintance or stay with other participants.
  • We kindly request that NO DOGS, are brought along to the Bubble Rush and are not taken on the course or through the bubbles. This includes dogs that can be carried. This is in the best interest of all participants and your family pet . However, please note that Bubble Rush events are held in public places and there may be dogs off the lead that belong to walkers in the area that are unconnected to the event.
  • Bubble Rush involves a level of sustained physical activity. Participants make the decision to take part and must be satisfied that this activity is suitable for them as individuals. Neither the event organiser, the charity nor its affiliates can be held accountable for aggravation to illness or injury sustained due to participation in this activity.
  • Participants are recommended to seek advice from their medical practitioner prior to taking part in this event, and make provisions to ensure their safe participation. Medical assistance will be available during Bubble Rush.
  • Participants are asked to come equipped with whatever necessary clothing, medication and nourishment is required to enable enjoyable and safe participation in this activity.
  • Due to the ingredients used for the dyes in the bubbles these may stain clothing and temporarily colour your skin. It is the participant’s responsibility to come suitably dressed for the event. The event organisers take no responsibility for colour stains on shoes, clothing or other personal possessions of participants or spectators at the event.
  • Please dress appropriately for the weather on the day. We suggest you bring a change of clothes for the journey home.
  • Alcohol is not permitted at the event. The organiser reserves the right to disqualify anyone who is under the influence of alcohol, whether consumed prior to commencement or during the event. This is done in order to prevent risk to the safety and enjoyment of yourself and others.
  • We welcome wheelchair users, however the route is on grass which is uneven and challenging in places, therefore we advise you check your chair can accommodate this and you may wish to bring someone along to help. Please ensure that you have taken this into consideration before booking, if you would like further information please contact the organiser prior to booking.
  • Extreme Adventure and the Event staff reserve the right to remove participants from the Event in their absolute discretion if such action is considered necessary for safety reasons or the proper enjoyment of the Event by other participants or for any other reasonable reason.

5 Event Format and Cancellation

  • Extreme Adventure reserves the right to make any variation to the format of the Event it deems necessary at its absolute discretion (including but not limited to variations in the distance, format, theme and number and/or type of obstacles and event merchandise) and shall not obliged to offer a refund.
  • We aim to ensure the commencement of the event, however should a decision be necessary to postpone or cancel the event we will email all participants.  Participants are also encouraged to look out for updates on our social media channels @bubblerush5k.
  • Should alterations to the planned activity be necessary to ensure safety of our participants, we will give prior notice either before the event or on arrival to the event of any alterations made. This includes any changes to the start time and any additional wave start times.
  • We reserve the right to cancel or reschedule an event at our absolute discretion in the event of an emergency (defined below) and shall not be obliged to offer a refund.
  • In the event of a postponement we will endeavour to reschedule the event and entries will be automatically transferred to the new date.  If a Participant can’t make the reschedueld event, they can transfer their entry to another Bubble Rush event organised by Extreme Adventure Ltd. 
  • No refunds will be made of any price difference between the original and new event tickets at the time of transfer. 
  • No refunds will be issued.
  • For the purposes of these terms and conditions, an “emergency” means any event beyond the control of Extreme Adventure, including but not limited to inclement weather, earthquake, flood, acts of terrorism, civil war, nuclear, chemical or biological contamination, any law or action taken by a government or public authority, epidemic or pandemic, fire, threatened or actual strike, labour difficulty or work stoppage, insurrection, war, public disaster, or unavoidable casualty.
  • The Event Organiser and the Charity reserve the right to update its terms and conditions in relation to the Bubble Rush at any time prior to the event. All participants will be provided with any updated terms and conditions in advance of the event as part of the Event Day Information and will be available on the day of the event.

6. Data protection – How we will use your personal information

  • Information you provide will be used by the Event Organiser to process your entry into Bubble Rush and keep you informed about the event and supporting the Charity in the run up to the event day.  
  • All communication from the Event Organiser will be sent by email.  If your email address changes between registering for the event and the event day please notify us.
  • Final event day information will be emailed to you 2 weeks before the event.

  • After you have registered for Bubble Rush you will receive an email from the charity partner with details about fundraising and how funds you raise will support the work of the charity.  This information will include options for receiving communications from the charity so that you can choose how you want them to communicate with you. For full details of how the charity will use your information please read the Privacy Policy on their website.

After the Bubble Rush event we would like to keep you informed by email about other 5k events we organise, including any future Bubble Rush 5k events in your region.   If you do not wish to receive these emails you can opt out at any time by following the link on the email newsletter.

ADDITIONAL EVENT TERMS & CONDITIONS – BUBBLE RUSH 2020

Due to the COVID-19 pandemic and Government restrictions on mass gatherings and social distancing it has been necessary to reschedule a number of our Bubble Rush events.  These are exceptional circumstances and as the event organiser, Extreme Adventure is making every possible effort to ensure that we are able to deliver the events. 

These additional terms and conditions are intended to clarify the options available in the event of a Bubble Rush organised by the company having to be rescheduled, to ensure as many people as possible are able to attend their chosen Bubble Rush event, or transfer between events.  They do not replace any of our current terms and conditions.

If an event is rescheduled to a new date and/or venue in the current calendar year:

Tickets will automatically be transferred to the new event. 

If a participant is unable to attend on the new date, the email from Extreme Adventure Ltd will set out the alternative options available.

  1. Transfer to another event

We will transfer tickets to another Bubble Rush event organised by Extreme Adventure.  There is no admin fee for transferring tickets to another event.  The deadline for transferring tickets will be set out in the email, but this will typically be no later than 48 hours before the alternative event OR 48 hours before the date of the rescheduled event (whichever is sooner).

Participants moving to another event should be aware that it could be organised in partnership with a different charity, and they may receive communications from that charity in the run up to the event, in line with our event Terms & Conditions.

If the participant has set up a fundraising account for the charity partner of the original booked event they remain responsible for that commitment. 

  1. Transfer tickets to the booked event to another person

We will transfer tickets to the rescheduled original event to another person.  We cannot refund the difference between ticket types, e.g. if an adult transfers a ticket to a child.  It is the responsibility of the person transferring the tickets that the new attendee is aware of and accepts the event Terms & Conditions and the participant’s waiver (as per the original booking form).  We reserve the right to email the new participant(s) to ask them to accept our Terms & Conditions and the event waiver. Any new participant(s) will not be able to participate in the event without accepting these conditions and signing the event waiver.

The original participant remains responsible for any fundraising commitment made to the charity partner.

  1. Donate ticket price to the nominated charity partner

Where a participant is unable to transfer to the rescheduled event or an alternative event they can choose to donate their entry fee to the nominated charity.  This can be requested by completing the online form, a link to which is provided in the email or by contacting Extreme Adventure.

Extreme Adventure Ltd will collate all donations made in this circumstance into a single donation to the charity partner.  On the donation form the participant can request that their details are shared with the charity so that the charity can acknowledge the donation. This will be by means of an opt in check box, and data will be handled and shared with the charity in line with our Privacy Policy.

  1. Request a Credit Voucher for use at a future event

During these exceptional times we appreciate that participants may not be able to commit to attending the rescheduled event.  We are therefore adding the option to request a voucher which will be redeemable for the equivalent ticket(s) at a Bubble Rush event organised by Extreme Adventure Ltd up to the end of 2021. 

Requests for Credit Vouchers must be made within the time set out on the email notification sent by Extreme Adventure of the change of date.  Credit vouchers cannot be issued after the date of the rescheduled event.

It will not be possible to receive a refund for any difference in price between the original purchase and the equivalent ticket for the 2021 event.  Any additional places required for the 2021 must be purchased at the sale price at the time of purchase.

If an event is postponed to a date in the next calendar year

If an event is postponed to a date in 2021 we will automatically transfer tickets to the new date. Participants will need to notify us if they do not wish to transfer to the new date. 

They will be offered the same options as in points 1 – 4 above.

If we do not hear from the participant within the time scale set out on the notification email we will assume they have chosen to transfer to the new date and will reissue their tickets.
